Accounting Assistant

Department: Abraxas Youth & Family Services
Location: Chicago, IL

Hiring a full-time Accounting Assistant | Administrative Assistant III to join our team at our Southwood Interventions program located on the south side of Chicago.

As an Accounting Assistant | Administrative Assistant III, you will provide specialized administrative support to the Business Manager and Executive Director. We're looking for someone with demonstrated experience supporting accounting and business departments.

Attention to detail, outstanding communication skills, and the ability to develop and maintain working relationships with internal and external customers are key in this role.

Salary: $18.50 per hour

Job Type: Full-time

As an Administrative Assistant III, you will:

  • Provide administrative support such as data entry, taking meeting minutes, typing, filing, calendar management, and composition of different correspondence.
  • Maintain complete and accurate financial records on all money received from clients.
  • Maintain complete and accurate petty cash records.
  • Process payroll for all units within facility.
  • Maintain accurate records of all paid time off earned and used by employees.
  • Process purchasing requisition for supply orders and reconcile purchases.
  • Process all vendor invoices for payment.
  • Arrange and participate in conference and taking meeting minutes.
  • Managed Care Organization (MCO) tracking.
  • Responsible for Census Reporting.
  • Provide relief to cover other admin duties as needed.
  • Other duties as assigned by Business Manager or Executive Director.
  • Adhere to confidentiality practices and procedures according to agency policies and HIPAA regulations.

Minimum Education & Experience Requirements:

  • High school diploma required. As associate degree or Medical Billing Certificate preferred.
  • 3 to 5 years' experience as administrative assistant or two (2) years of Medicaid and/or Managed Care billing.
  • Bilingual (English / Spanish) Preferred.

Other Qualifications:

  • At least twenty-one (21) years of age.
  • Criminal clearances, drug screening (we do not test for THC) and TB testing.
  • Ability to work with computers and the necessary software typically used by the department.
